Privacy Policy

Last updated:

AutoMediaX Global Hub Services LLP ("AutoMediaX", "we", "us", "our") respects your privacy. This Privacy Policy explains what personal data we collect through this website, our AI assistant, phone, WhatsApp and our offices, why we collect it, who we share it with, how long we keep it and the rights you have. It is published under Rule 4 of the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 ("SPDI Rules") and is designed to meet the notice requirements of the Digital Personal Data Protection Act, 2023 ("DPDP Act") and the Digital Personal Data Protection Rules, 2025 as they come into force.

1. Who we are

AutoMediaX is a limited liability partnership based in Palanpur, Gujarat. We work across automotive sales support, loan sourcing as a Direct Selling Agent (DSA) / loan sourcing partner of banks and NBFCs, insurance distribution through IRDAI-certified Point of Sales Persons (POSP), real estate advisory, IT and digital marketing, business consulting, and fleet and government (GeM) services. For the personal data described here, AutoMediaX is the "Data Fiduciary" under the DPDP Act and the "body corporate" under the SPDI Rules.

2. Personal data we collect

  • Identity and contact: name, phone number, email address, city and state.
  • Enquiry details: service needed, product or property of interest, budget, timeline, preferred visit date and any message you write.
  • Loan enquiries: employment type, income range, existing loans, loan amount and purpose. Where you proceed with a lender, KYC documents (PAN, Aadhaar, address proof), bank statements, salary slips or ITRs that the lender asks for.
  • Insurance enquiries: vehicle details, previous policy and claim history, age, family members to be covered and, for health or life cover, health information that the insurer's proposal form requires.
  • Real estate enquiries: property type, location and budget preferences, and site visit details.
  • Business clients: company name, GSTIN, designation and project requirements.
  • AI assistant: the questions you type and the answers generated.
  • Technical data: IP address, browser, device type, pages visited and time stamps, used for security and to keep the website working.

Financial information (bank account details, statements) and health information are "sensitive personal data or information" under the SPDI Rules. We collect them only when needed for a product you have asked for, with your consent, and we pass them only to the lender or insurer who needs them. We never ask for your passwords, OTPs, card PINs or CVV.

3. Why we use your data (purposes)

  • To reply to your enquiry and call, email or WhatsApp you about it.
  • To assess which products suit you and to share your application with the bank, NBFC, insurer, vehicle dealer or real estate developer you choose or agree to.
  • To arrange test drives, site visits, video walkthroughs and document collection.
  • To deliver IT, marketing and consulting projects you engage us for.
  • To meet legal and regulatory duties, including record keeping required by our partner banks, NBFCs and insurers, RERA and tax law.
  • To keep the website and our systems secure, prevent fraud and fix errors.
  • To send you updates or offers only where you have agreed, with an option to opt out at any time.

We process your data on the basis of your consent, which you give by ticking the consent box on our forms or by contacting us, or for the "legitimate uses" permitted under Section 7 of the DPDP Act (for example, where you voluntarily provide data for a specific purpose, or where the law requires it).

4. Who we share data with

We do not sell or rent your personal data. We share it only as follows:

  • Banks and NBFCs (Regulated Entities of the Reserve Bank of India) for the loan you apply for. The lender alone decides on approval, interest rate and terms.
  • Insurance companies and the insurance intermediary to which our POSP is attached, for quotes and proposals.
  • Vehicle dealers and manufacturers, real estate developers and their RERA-registered projects for the vehicle or property you ask about.
  • Service providers (Data Processors) who help us run our business, such as website hosting, email, cloud storage, CRM, telephony and the AI service that powers our assistant. They act on our instructions under contract and must protect your data.
  • Government, regulators, courts and law enforcement where the law requires it.

Some service providers may process data outside India. Such transfers are made only as permitted under Section 16 of the DPDP Act. Where a lender's rules require loan data to be stored in India, we follow them.

5. Loan-specific commitments (DSA / Lending Service Provider)

  • We act as an agent of our partner lenders and are not a lender. We do not approve, sanction or disburse loans.
  • We do not charge borrowers any fee for loan sourcing. Our partner lenders pay us directly. Do not pay any "processing" or "file" charge to any person in cash or to a personal account in our name.
  • Loan disbursal and repayment happen only between your bank account and the lender's bank account.
  • Before you sign, the lender gives you a Key Facts Statement (KFS) with the annual percentage rate (APR) and all charges, as required by the Reserve Bank of India.
  • We collect only the data needed for your loan, with your consent, and do not access the files, contacts or media on your phone.
  • We follow the Reserve Bank of India's directions on digital lending, fair practices, KYC and outsourcing as they apply to us through our agreements with lenders.

6. Insurance-specific commitments (POSP)

  • Insurance is offered through IRDAI-certified Point of Sales Persons, each attached to a single insurer or registered insurance intermediary that is responsible for them. The POSP's name, POSP code and sponsoring insurer or intermediary are disclosed to you before any proposal is submitted.
  • POSPs offer only the simple products IRDAI permits for POSP sale, such as motor, two-wheeler, travel, personal accident, home and specified health and term plans.
  • Your proposal, health and claim details are shared only with the insurer and the sponsoring intermediary.
  • We do not offer any rebate of commission or premium, cashback or gift to buy or renew a policy, as prohibited by Section 41 of the Insurance Act, 1938.

7. Calls, SMS, WhatsApp and email

When you submit an enquiry you agree that we may contact you about it by call, SMS, WhatsApp or email, even if your number is on the National Customer Preference Register (DND), for that enquiry only. Promotional messages are sent only with your consent and in line with the Telecom Commercial Communications Customer Preference Regulations, 2018 of TRAI. Lender-related calls are made between 8:00 am and 7:00 pm. Reply STOP, ask on WhatsApp, or email us to stop receiving messages.

8. AI assistant

AutoMediaX AI is an automated assistant, not a human adviser. Your questions are processed by a third-party AI service to generate answers. Please do not type bank details, passwords, OTPs, Aadhaar numbers or health information into the chat.

9. Cookies and analytics

We use cookies and browser storage that are needed for the website to work (for example, to remember your form progress or preferences). If we use analytics or advertising cookies, we will ask for your consent first, and you can refuse them without losing access to the website. You can also clear or block cookies in your browser settings.

10. How long we keep data

We keep personal data only as long as needed for the purpose it was collected for, or as long as the law, our partner lenders or insurers, or RERA require. Enquiries that do not proceed are deleted or anonymised when they are no longer needed. Security logs are kept for at least 180 days as required by the CERT-In Directions dated 28 April 2022, and personal data and logs are kept for at least one year where the DPDP Rules, 2025 require it.

11. Security

We use reasonable security practices as required by Section 43A of the Information Technology Act, 2000 and Rule 8 of the SPDI Rules, including encrypted connections (HTTPS), access controls, restricted staff access, secure storage of credentials outside public folders, backups and monitoring. If a personal data breach occurs, we will inform affected persons and the Data Protection Board of India, and report cyber incidents to CERT-In, within the timelines the law sets.

12. Your rights

Subject to applicable law, you can:

  • ask for a summary of the personal data we hold about you and who we have shared it with;
  • ask us to correct, complete, update or erase your personal data;
  • withdraw your consent at any time (this does not affect processing already done, and we may be unable to continue a service that needs the data);
  • nominate another person to exercise your rights in case of death or incapacity;
  • raise a grievance with us, and if it is not resolved, complain to the Data Protection Board of India.

To exercise these rights, write to info@automediax.co.in with your name and the phone number or email you used with us, so that we can verify your identity.

Our services are meant for adults. We do not knowingly collect personal data of anyone under 18 without verifiable consent of a parent or lawful guardian, and we do not track or target advertising at children.

14. Grievance Officer

Under Rule 5(9) of the SPDI Rules and the DPDP Act, our Grievance Officer handles privacy questions and complaints. We aim to acknowledge complaints within 48 hours and resolve them within one month.
